The 10 Best AI Note Takers in 2026, Compared
Jamie leads with 7.6/10 thanks to the strongest EU compliance profile, followed by Fireflies.ai (7.5) on integrations, and tl;dv and Fellow at 7.4. Fathom (7.3) has the best price score but loses compliance points for US hosting and default model improvement. The native suite assistants score well on governance but lose points on price, because they sit on top of a licence.

Score = (Quality × 25 + EU compliance × 25 + Price × 15 + Integrations × 15 + Capture × 10 + Admin × 10) ÷ 100. Equal rounded scores are ordered by weighted points: tl;dv 74.0 above Fellow 73.5, Gemini 72.0 above Read AI 71.5. Fathom and Copilot both total 73.0; the tie-break is the higher Price rating (10 vs 4). Read AI rates 7 on EU compliance against Fireflies' 6 because its top tier offers EU hosting and model improvement is off by default, while Fireflies' EU option covers storage only, with processing in the US. tl;dv rates 9, not 10, because it stores the recordings it makes; Jamie does not store audio.
1. Jamie: best AI note taker overall and for GDPR (7.6/10)
Jamie, built by wespond in Rösrath, near Cologne, Germany, is the best AI note taker for European companies that cannot send meeting data to the US. It captures audio bot-free on any platform, including in-person meetings, so no extra participant appears in the call.
Standout features: Ask Jamie chat across notes, MCP access for AI tools on Pro, templates and a shared workspace on Team. Jamie states its service is "Hosted in EU & GDPR compliant", with "No model training on your data", ISO 27001 and DORA alignment. Third-party reviews add that Jamie does not store audio.

Source: Jamie pricing. As listed, the single-user Pro plan costs more than a Team seat, and the page does not state a billing period for Plus.
Ideal for: law firms, consultancies, financial services and public-sector suppliers in the EU.
Honest caveat: SOC 2 Type II is still listed as "pending", and at €33 per seat it is one of the pricier options for a large team.
2. Fireflies.ai: best integrations and API (7.5/10)
Fireflies.ai, based in San Francisco, is the best AI meeting assistant for teams that want meeting data flowing into their CRM, project tools and internal systems. It joins calls as a bot or captures through a Chrome extension, and adds team analytics, AI credits and an API.
Standout features: broad CRM integrations, team-level conversation analytics, and a published compliance set: "SOC 2 Type II", "GDPR compliance", "HIPAA compliance" with a BAA, and "ISO 42001". Its pricing page states "Zero Data Retention — Your data is never used for AI training" (Fireflies pricing).

Fireflies' pricing page did not display prices in our check, so these figures come from Scribbl's tracker, verified 7 October 2026. Free accounts created since 1 September 2026 get 3 transcribed meetings unless auto-join is enabled.
Ideal for: revenue and operations teams that live in their CRM.
Honest caveat: data is stored in the US by default; EU storage requires Enterprise Private Storage, and processing still happens in the US.
3. tl;dv: best EU-hosted meeting bot (7.4/10)
tl;dv is the best choice for teams that want a classic meeting bot with EU hosting. The company is based in Aachen, Germany, and its bot joins Zoom, Google Meet and Teams to record, transcribe and write AI notes.
Standout features: multi-meeting insights that summarise patterns across calls, CRM sync, and a clear data position. tl;dv says "EU data stays in the EU", hosted on AWS Frankfurt, Google Cloud and Hetzner in Germany and Finland, that it holds SOC 2 Type II and that customer data is never used to train AI models.

Ideal for: European sales, product and recruiting teams that meet mostly online and want EU residency without an enterprise contract.
Honest caveat: capture is bot-based, so every call shows an extra participant, and in-person meetings are not its strength. Monthly billing costs about 60% more than annual.
4. Fellow: best AI note taker for teams that need governance (7.4/10)
Fellow, from Ottawa, Canada, is the best AI note taker for organisations that need admin control over who records what. It records botless, writes AI notes and links them to meeting agendas and action items.
Standout features: admin governance controls, agendas and action-item tracking, and a compliance set of "GDPR compliance", "SOC 2 Type II compliance" and "HIPAA / BAA compliance".

Ideal for: healthcare, financial services and other regulated mid-market companies that want meeting discipline as well as notes.
Honest caveat: Fellow hosts data on AWS; third-party reviews place it in AWS Canada Central with no EU residency option and list US AI subprocessors (OpenAI, Anthropic, Deepgram, AssemblyAI). Data is reported as not used for training. Confirm residency in the DPA.
5. Fathom: best free AI note taker (7.3/10)
Fathom, a US company, is the best free AI note taker because its free plan has no cap on recordings or transcripts. It works across Zoom, Google Meet, Microsoft Teams and Slack, with bot capture or bot-free capture; its free plan lists a "Choice of bot-free (in beta) or bot capture", and the pricing page marks bot-free as a beta feature for Mac.
Standout features: instant AI summaries, AI action items, "Ask Fathom" search across meetings, and CRM field sync with HubSpot and Salesforce plus a Deal View on Business. Fathom offers "HIPAA compliance with a standard BAA" from the Team plan.

Honest caveat: reviews of its security documentation report US data storage and the use of de-identified data for model improvement, with an opt-out. That is why it rates 4 on EU compliance; European buyers should sign the DPA and switch that setting off before rollout.
6. Microsoft 365 Copilot in Teams: best AI note taker for Teams (7.3/10)
Copilot in Teams is the best AI note taker for companies that already run on Microsoft 365, because notes stay under the tenant's existing governance. It delivers intelligent recap, meeting Q&A during and after the call, and custom summary templates.
Standout features: Microsoft states that "Prompts, responses, and data accessed through Microsoft Graph aren't used to train foundation LLMs" and that "For EU customers, Microsoft Copilot is an EU Data Boundary service" (Microsoft Learn, Copilot privacy). Retention runs through Microsoft Purview.

Microsoft's pricing page did not load during our check; these figures come from 2026 licensing guides, so confirm them with your Microsoft partner. Intelligent recap needs Teams Premium or a Microsoft 365 Copilot licence; custom summary templates need Copilot.
Ideal for: any Microsoft 365 company that holds most meetings in Teams. Our Microsoft Copilot training helps teams turn recaps into adopted habits.
Honest caveat: it only covers Teams. Microsoft notes that models provided by Anthropic as a subprocessor are currently excluded from the EU Data Boundary, so check which models your admin enables.
7. Gemini in Google Meet: best value inside Google Workspace (7.2/10)
Gemini's "Take notes for me", built by Google into Meet, is the best value AI note taker for companies on Google Workspace, because it is included in editions they may already pay for.
Standout features: native to Meet, no extra vendor, and Google's commitment that "Workspace does not use customer data for training models without customer's prior permission or instruction" (Google Workspace privacy hub).

Honest caveat: it supports "English, French, German, Italian, Japanese, Korean, Portuguese, Spanish" and "one language at a time", so bilingual meetings suffer and Catalan is not supported. It only works in Meet.
8. Read AI: best cross-app search (7.2/10)
Read AI, based in Seattle, is the best AI meeting assistant for teams that want one search across their apps. It produces summaries and transcripts in more than 20 languages, video highlights and a meeting coach.
Standout features: enterprise search across apps, and a top tier that adds HIPAA, SAML/SCIM and "EU & CA hosting". Its privacy pages describe SOC 2 Type II audited annually, a GDPR Article 28 DPA, and transfers under the Data Privacy Framework and standard contractual clauses.

Honest caveat: EU hosting is only on Enterprise+. European deployers should assess the meeting coach and engagement metrics against the EU AI Act's workplace emotion-recognition ban before switching them on.
9. Granola: best note quality for individuals (6.9/10)
Granola, based in London, is the best AI note taker for individuals who still like to type their own notes. The bot-free desktop app listens on your device and expands your rough notes into a full write-up, instead of replacing them.
Standout features: model selection, integrations with Notion, HubSpot, Attio, Affinity and Zapier, and an API on Business. Granola states that "Audio is deleted from our systems" after transcription and that it "holds SOC 2 Type II certification" (Granola docs).

10. Otter.ai: strong live transcription, weak EU fit (6.4/10)
Otter.ai, based in Mountain View, California, remains a strong choice for live transcription at a low price, but it is the weakest fit for European compliance in this list. OtterPilot joins meetings as a bot, and Otter also transcribes imported files and runs a Sales Notetaker on Enterprise.
Standout features: real-time transcription, up to 3 concurrent meetings on Business, and a cheap annual Pro plan.

Also considered
- Zoom AI Companion / ZoomMate: Zoom's Workplace Basic plan includes "ZoomMate Basic" with "Meeting summaries (for 3 hosted meetings per month)". Paid pricing did not display during our check, so we did not score it.
- Avoma: from $19/seat/month billed annually, with SOC II and HIPAA, but its focus on sales calls overlaps with conversation intelligence tools.
- Bluedot and Plaud: Bluedot's pricing page showed inconsistent figures and no certifications; Plaud is a hardware recorder, a different buying decision.
If your team also drafts follow-up emails and reports with AI, our ranking of the best AI writing tools covers that next step.
Native Suite Assistant vs Standalone AI Note Taker: Which Should You Choose?
Start with the native assistant if one platform carries most of your meetings, and buy a standalone tool only if you meet across platforms or need CRM sync. Copilot and Gemini inherit the security, retention and admin model you already run, which is why they rate 10 and 9 on governance.

Which AI Note Takers Keep Data in the EU and Off Training Sets?
Only tl;dv and Jamie host data in the EU by default, and Microsoft Copilot runs inside the EU Data Boundary for EU customers. Read AI and Fireflies offer EU options only on their top tiers, and Fathom, Granola and Otter host in the US. The table summarises what each vendor publishes, as of November 2026.

Hosting location is only half the question. Ask every vendor for its subprocessor list: a tool hosted in Frankfurt can still send audio to a US speech-to-text provider. "Only two of the ten tools host in the EU by default, so for most buyers the DPA and the subprocessor list matter more than the logo on the pricing page," says Alfons Marques, founder of Technova Partners.
Is It Legal to Record Meetings With an AI Note Taker Under the GDPR?
Yes, if you have a lawful basis under GDPR Article 6, inform every participant before recording starts and respect national rules on recording conversations. For internal meetings the usual basis is legitimate interest (Article 6(1)(f)), backed by a documented balancing test and an internal recording policy. Employee consent is rarely valid, because the power imbalance in employment means it is seldom freely given.
National law adds to the GDPR. In Germany, §201 of the Criminal Code protects the confidentiality of the non-public spoken word, so recording a conversation without consent can be a criminal offence. In Spain and France, the data protection authorities (AEPD and CNIL) expect participants to know they are being recorded and why. For calls with clients and candidates, clear notice before recording is the safe default.
A short, standard notice in the calendar invite and at the start of the call covers most cases:
"This meeting will be recorded and transcribed by [tool] to produce notes and action items. Recordings are kept for [X days] and are not used to train AI models. Tell the host if you prefer not to be recorded."
The US offers a cautionary case: the Otter consolidated class action centres on recording people who never agreed to it. As Marques puts it: "The note taker is never the compliance problem; the missing notice is. Write one recording policy before rollout and you have already answered most of what your works council or DPO will ask." Our GDPR data protection services cover that policy and the DPA review, and our GDPR and AI Act compliance guide explains how to document legitimate interest.
What Does the EU AI Act Mean for AI Meeting Assistants?
Two EU AI Act rules matter for meeting tools: transparency duties under Article 50, which have applied since 2 August 2026, and the ban on emotion recognition in the workplace under Article 5(1)(f), in force since 2 February 2025. Breaching the ban can cost up to €35 million or 7% of worldwide turnover; Article 50 breaches carry fines of up to €15 million or 3%. In practice, Article 50 means telling people when they are exposed to an emotion-recognition system and making AI-generated content identifiable, so meeting summaries shared outside the team should be labelled as AI-generated.
The practical risk sits in "sentiment", "engagement" and coaching scores. If a feature infers how an employee feels from voice or video, your company, as the deployer, must assess whether it falls under the ban before turning it on. This is a deployer risk to check, not a finding against any vendor.
Microsoft, for example, states that it restricts generative AI from making inferences about an employee's "performance, attitude, internal or emotional state, or personal characteristics" in Copilot scenarios (Microsoft Learn, Copilot privacy). Our EU AI Act compliance guide for businesses walks through the full deployer checklist.
How Much Does an AI Note Taker Cost for a 10-Person Team?
On annual list prices, ten seats of a USD-priced tool cost from $840 a year (Fellow Team, capped at 10 notes per user a month) to $2,520 plus base licences (Copilot Business). Euro-priced options run from €1,632 (Gemini via Workspace, whole suite) to €3,960 (Jamie Team).

Methodology
We built the shortlist from the vendors most often ranked for "best ai note taker" and "ai meeting assistant", plus the native suite assistants, and excluded sales conversation intelligence platforms. For each tool we read the official pricing page on 8 November 2026 and the vendor's security, privacy or help documentation. Where a vendor page did not show prices (Fireflies, Microsoft), we used a dated third-party pricing tracker or licensing guide and say so in the entry. Compliance claims are quoted from the vendor where possible; claims from third-party reviews are marked as such.
Each criterion was rated 0-10 against the written anchors in the scoring table, and the weighted total gives the score out of 10. We did not run a lab accuracy benchmark, which is why notes quality is rated on documented features rather than word error rates. Scores follow the published framework and will be reviewed when vendors change prices or hosting options. Technova does not resell any of the tools in this comparison and sells no note taker of its own. No vendor paid to be included or for its score: any sponsored placement on this page is labelled as such and can buy visibility, never a higher score.
Frequently asked questions about AI note takers
What is the best AI note taker in 2026?
Jamie has the top score in our comparison (7.6/10), driven by EU hosting, ISO 27001 and no training on your data. Fireflies.ai (7.5) is the best pick for integrations, and Fathom (7.3) is the best free AI note taker thanks to unlimited free recordings and Team seats from $15 a month. Most others (Otter, Read AI, Jamie, Fireflies, tl;dv, Fellow, Granola) offer capped free tiers.
What is a bot-free AI note taker?
A bot-free AI note taker, sometimes called a bot-free meeting recorder, captures meeting audio from your own computer instead of joining the call as a visible participant. Jamie and Granola work this way, Fellow records botless, and Fathom offers bot-free capture in beta on Mac. Bot-free tools also handle in-person meetings, but you still have to tell participants they are being recorded.
Fireflies vs Otter: which is better, and is Otter safe to use in Europe?
Fireflies is better for most business teams (7.5 vs 6.4 in our scoring): it publishes a zero-training commitment and ISO 42001, and offers deeper integrations and an API. Otter is cheaper on annual Pro ($8.33 vs $10). Otter holds SOC 2 Type II but hosts only in US AWS regions and faces a pending consent class action, so European companies need a DPA, a documented transfer mechanism and a recording notice. tl;dv and Jamie are the EU-hosted Otter alternatives.
Should I use Copilot or a standalone note taker for Microsoft Teams?
If most of your meetings happen in Teams, start with Microsoft 365 Copilot or Teams Premium: intelligent recap runs inside your tenant, with no new processor to approve. Choose a standalone tool such as Fireflies, tl;dv or Fathom when you also meet on Zoom or Google Meet, or when notes must sync to a CRM.
Do AI note takers comply with the GDPR?
The tool alone cannot make you compliant. You need a lawful basis, usually legitimate interest, a notice to participants, a signed DPA and a retention period. Jamie and tl;dv host data in the EU by default, which simplifies the assessment; US-hosted tools rely on transfer mechanisms you must document. On training, Fireflies, tl;dv, Jamie and Fellow say they do not train on your data, Read AI keeps model improvement off by default, and Granola and Fathom need an opt-out.
